Annual General Meeting

Letter from the President - 56th Annual General Meeting

April 22, 2019

Dear CMHA Members:

Please find attached the Annual General Meeting package which consists of the Notice of the Annual General Meeting as well as a CMHA Executive Board Nomination form. The Notice indicates all the positions which will be up for election this year.

Coquitlam Minor Hockey Association Bylaw #3.6, provides that there shall be no nominations accepted from the floor for elected positions.  Accordingly, anyone who will be running for an elected position must complete and submit a Nomination form for the position they would like to serve in. I encourage all members to consider volunteering for our CMHA Executive Board.  While it is a time commitment, this is your opportunity to give back to your community association and help guide our future. As the saying goes “many hands make light work”. Once completed, your nomination form should be sent to the Association Secretary at: for distribution to the Nominating Committee.  Nominations will be accepted until 6pm on May 5, 2019.   We will be posting all Nominees to the website for members to review and prepare any questions they may have of Nominees in advance.

The descriptions, prerequisites and time estimates for each position will be posted shortly under AGM 2019 under the “About” tab on our website and the Nominees will be updated as received.

Please note that only CMHA Members in Good Standing are eligible to attend (with exception of current Board members) and vote at the Annual General Meeting or to run for positions on the Executive.   There will be a sign in table where you will receive your voting card.   A Member in Good Standing is defined as a registered player over the age of 19 and any parent/legal guardian of a registered player under the age of 19  who has no outstanding debts to the Association and is not currently suspended or who has applied for and been accepted by the Executive under the terms of our bylaws. A maximum of two legal guardians/parents per player family are entitled to vote regardless of how many players are in the family. Lifetime Members are also entitled to vote.  Voting by proxy is not permitted. Election by acclamation is not permitted.

Executive Meeting Minutes and the Financial Statements will be uploaded to the CMHA website shortly and a notice will be sent once they are available. These documents will only be accessible to members who log into the website, hence if you do not have your TeamPages account set up, please email our Administrator to have an account created.

It is important that all CMHA members attend this meeting.  This is your opportunity to share your voice and help direct our future.  Attached you will find the updated Constitution and Bylaws which have been amended to meet the requirements of the New BC Societies Act.  This will be presented for your acceptance at the General Meeting. A minimum of 50 members must be present for the meeting to proceed. There will be a draw for a free registration at the end of the meeting and you must be present to win.

I am looking forward to seeing you at our 56th Annual General Meeting on May 7th 2019.

Yours sincerely,

Tina Chan

Acting President, Coquitlam Minor Hockey
